Law Firm is seeking a professional file clerk/legal assistant responsible for the integration of Core Competencies into daily functions, including: commitment to integrity, knowledge / quality of work, supporting financial goals of the company, initiative / motivation, cooperation / relationships, problem analysis / discretion, accomplishing goals through organization, positive oral / written communication skills, leadership abilities, reliability / dependability, flexibility and ownership/ accountability of actions taken. Must be open to change and flexible, not rigid in thinking and able to adapt to a growing, evolving law firm. Appreciation for a team centric approach is a must.


ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include the following. Other duties may be assigned.
• Files, delivers and retrieves documents, as needed.
• Maintains hardcopy records, reports and pertinent information, as assigned. Codifies, makes copies and creates / updates files following established procedures. Files documents in filing cabinets according to classification and identification information.
• Examines/ scans incoming documents, and determines how and where they should be classified or filed.
• Performs periodic audits of documents / files to ensure correct placement, legibility and proper condition.
• Follows guidelines for sorting and classifying information based on content, purpose, user criteria or chronological / alphabetical / numerical order.
• Responds to inquiries regarding records and files. Locates and retrieves information from files in response to requests from authorized personnel.
• Collects documents from departments and/or associates, and files accordingly. Tracks documents removed from files, and ensure that borrowed files are returned.
• May purge obsolete or outdated files in accordance with established schedules and procedures. Assembles and codes files for shipment to offsite storage.
• Maintain electronic files and records, as assigned.
• Performs a variety of general office duties such as data entry, operating office machines, answering phones, etc.
• Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize output. Responsible for aiding in own self-development by being available and receptive to any training made available by the company.
• Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. . maintain all internal files in file room and case management of the physical file as it navigates through the office to various people and departments.
• Daily filing of all paperwork as it relates to each file.
• Opening and scanning into CRM all file processes.
• Daily pulling files for the day for attorneys based on their calendar.
• Managing all incoming mail-- scanning/review updating indexes.
• Back up phone for existing client services coordinator (daily) as she supports founding attorney on daily activities.
