Manager of Records and Information Compliance

Vedder is hiring a Manager of Records and Information Compliance.

The Manager of Records and Information Compliance will provide leadership, direction, planning, supervision and overall management of the firm wide Records Management function. This position is highly visible, and will communicate with senior Firm management, shareholders, practice area leaders, office leadership, and administrative leaders. This position requires a strategic records professional to be responsible for leading and implementing a records management strategy designed to meet the required policies, business goals and objectives for a leading law firm.  The position requires a deep understanding of information management, including the tactical management of both physical and electronic records, as well as information management technology and systems, information security, and the ethical and legal requirements for lawyers and law firms related to information. The position requires excellent project management and leadership skills with ability to communicate project goals and activities and ability to see a project through to completion.

Duties & Responsibilities:

  • Develops and maintains the strategic vision for Records Management as an active member of the Firm’s Operations leadership team.
  • Supervises the onboarding and departure of attorneys and others from a records management and coordination perspective.
  • Working with Loss Prevention counsel, oversees all RIM compliance programs, including legal holds, document destruction obligations, records retention, and matter mobility (inbound/outbound) transfers. 
  • Oversees development of systems that manage RIM compliance programs. 
  • Work with Loss Prevention counsel to ensure RIM programs meet legal and ethical requirements
  • Provides advice and proposes solutions for complex and/or technical records management and/or information technology issues
  • Provides leadership and direction on the use of records management technologies
  • Oversees the cost-effective use of offsite storage of paper records through the diligent procurement practices
  • Works with administrative staff and legal practitioners to identify business requirements and automate records management processes
  • Communicates the Records Management policies and practices throughout the firm in a variety of forums
  • Provides training and engages in ongoing education related to information management theory, practice and trends
  • Advocate Information Governance principles and practices to create a culture of IG awareness
  • Drafts, reviews and/or presents proposals, project plans, status reports, and other information in a variety of formats and styles appropriate to the audience
  • Advises on operational and compliance responsibilities relating to the lifecycle management of client and administrative records regardless of media or forma
  • Oversees the Records Management function in all offices.  Coaches and mentors Records Management personnel on the continual improvement of their technology skills
  • Creates and maintains records appropriate to the administration of the Records Management Program
  • Assesses the current use of recordkeeping applications in the management of firm records. Proposes new and/or modified approaches to the use of software and assesses proposed systems as Firm Approved Records Repositories
  • Oversees the development and maintenance of the Records Management systems
  • Coordinates legal research to determine records retention requirements.  Analyzes records retention and disposition recommendations from various legal and professional sources
  • Develops and maintains the Records Policy and Records Retention Schedules and obtains signatures of approval and authorization
  • Creates and maintains written documentation of all processes associated with managing the Records Management Program
  • Manages completion of a records inventory of records as required by the firm’s RM policy
  • Leads the development of a standard for data portability of legal data with other large law firms in order to minimize resources needed to import/export legal data
  • Automates the Records Management departure process to include contractors and eliminate manual tasks
  • Experience developing and managing budgets
  • Identify skill set necessary for RIM staff to work in the electronic RIM environment
  • Ensure staff is trained to work in the electronic RIM environment
  • Other projects as assigned by the Director of Operations or the General Counsel
  • Travel as needed


Skills & Competencies:

  • Experience and "track record" in ability to coordinate RM projects to completion and proven methods for enforcement of RM policies and procedures
  • Strong interest in technology and interest in having a thorough understanding of technology in terms of ability to meet business needs
  • Strong technology skills including an understanding of databases and system architecture along with the ability to design process and workflow

Qualifications & Required Experience:

  • Bachelor's degree, preferably in an area related to information management, systems administration, technology or business or equivalent work experience
  • Five or more years of legal (or comparable) management experience as a leader in an information management area, that includes three years direct supervision or management of paper and electronic Records Management function within an organization
  • Professional certifications in information governance, records management, or project management and experience working in the legal industry are preferred but not required
  • Position also requires the ability to work under pressure to meet strict deadlines

Computer Skills:

To perform this job successfully, an individual must be proficient in the following software:

  • Solid understanding of Microsoft office tools, including Word, Excel, Outlook, Power Point, Project and Visio are needed

Physical Demands:

  • While performing the duties of this job, the employee is occasionally required to walk from work station, to desk or to go to various offices to retrieve assignments.  This position may also be sedentary and require the employee to sit for extended periods of time.
  • Requires manual dexterity to dial a telephone, enter data into a computer, and handle objects, which involves substantial movements of the wrists, hands and fingers.
  • Some filing is required and this would entail the ability to lift files, open filing cabinets and bend or stand as necessary.
  • The employee is also required to regularly communicate with others.
  • Specific vision abilities required by this position include:  close vision and ability to adjust focus.
