Client Billing Coordinator

Perform Billing support functions, including the preparation of client invoices, mailing of invoices, generating basic reports, and other administrative tasks as needed. ESSENTIAL FUNCTIONS These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation. Prepare and process standard proformas and client invoices accurately; including task based, parent child billing in Elite in accordance with attorney requests. Make time entry changes as requested by legal staff. Perform research and generate reports as requested, including past/present balances, unbilled/billed fee statuses, bill revisions, document copies and accounts payable back up. Answer client inquiries by telephone and email, conferring with lawyers regarding bill content, concerns, and requests when appropriate. Explain and enforce standard timekeeping/billing policies and procedures to partners, associates, legal secretaries, and paralegals in person, by email and telephone. Meet with lawyers and legal staff to discuss special billing arrangements and Elite system capabilities. Be present at work during regularly scheduled working hours and as needed in the job position, consistent with the Firm's attendance expectations. Available to work overtime to meet the firm's monthly closing and client deadlines. SPECIFIC SKILLS REQUIRED Ability to express self effectively, both orally and in writing. Fluency in standard accounting /billing procedures. Attention to detail, strong organizational skills, and the ability to multi-task. Perform well under pressures of heavy volumes and requests and execute assignments. Ability to calculate figures and amounts such as discounts, percentages, and billing rates accurately. Ability to apply common sense to carry out instructions furnished in written, oral, or diagram form and deal with problems involving several concrete variables in standardized situations. Ability to accurately type 40-wpm and use a ten-key calculator by touch. Ability to establish effective working relationships with all levels of firm personnel. Working knowledge of MS Office applications, specifically Excel and Word is required. SPECIFIC SKILLS PREFERRED Work well in a team environment. Familiarity with standard databases and/or accounting software applications. Elite 3E software experience preferred. EDUCATION AND EXPERIENCE Requires 2 years of related accounting experience and an AA degree or equivalent. Professional services accounting experience preferred.
