GENERAL PURPOSE This position will report to the Discovery Services Supervisor and will be responsible for providing administrative support to the firms E-Discovery Services & Strategy (ESS) practice group. Daily tasks include, but are not limited to, helping process payroll, data and information tracking, and assisting with the planning and coordination of E-discovery and transactional projects. Additional tasks include coordinating quarterly and annual ESS events, as well as scheduling employee training programs. This is a non-billable administrative position. ESSENTIAL FUNCTIONS Order and stock media in Seattle media room. Assist with media and data tracking. Assist ESS Discovery Services Supervisor with monthly payroll for project-by-project Discovery Services Attorneys. Assist with Review and Discovery Attorney technical issues. Support and organize details related to the firm and ESS OnGuard security protocol efforts. Annual follow-up regarding same. Coordinate details and set-up for regular team meetings and events. Assist with coordinating orientation schedules. Assist with travel accommodations and scheduling. Stock Seattle copy room with supplies. Assist with planning for ESS educational and training events. Assist with facilities requests. Provide back-up support for practice billing functions. Assist ESS Development Manager with training program. Coordinate logistics for Discovery Services projects which includes, but is not limited to, scheduling of conference rooms, AV setups, and scheduling visitor offices for traveling lawyers and support staff. REQUIRED SKILLS Proven, strong administrative support skills, including excellent organizational skills and attention to detail, a commitment to meet tight deadlines, and excellent oral and written communication skills. 75+ wpm accurate typing and excellent grammar, proofreading abilities, and strong attention to detail. Demonstrated proficiency with MS Office suite, especially with Word, Excel and Outlook. Strong organizational skills, general technology skills, and the proven ability to learn new concepts and applications quickly. Proven ability to work well under pressure and meet tight deadlines. Ability to exercise judgment and work independently. Must have a positive attitude, a strong work ethic, and be highly organized. Excellent interpersonal skills, which are essential to this position in dealing with both internal and external colleagues and personnel. Must be a team player. Strong customer service skills and solid technical troubleshooting and problem-solving skills are required. The ability to coordinate complex travel and meeting arrangements through direct sources and the firms travel department. A good knowledge of the litigation process and discovery lifecycle is required. Ability to work independently with minimal supervision at each stage of the discovery process. PREFERRED SKILLS Functional knowledge of basic legal terminology beneficial. Knowledge of the principles of litigation support software such as Relativity, Concordance, CaseMap, LiveNote, and Trial Director is preferred. EDUCATION AND EXPERIENCE Requires a bachelors degree and 3 years of legal support experience as an administrative assistant, legal secretary, paralegal assistant or similar role, or equivalent combination of education and experience.
