GENERAL PURPOSE Responsible for delivering exceptional service and high-quality work product to attorneys and paralegals in the Personal Planning Group to support practice group business needs. In addition, as a member of the Perkins Coie LLP professional support staff team, this position is responsible for promoting and maintaining the goodwill and reputation of the firm. In this capacity, he or she is expected to maintain the highest level of professional conduct and confidentiality. The legal practice assist will have excellent oral and written communication skills, strong organizational skills and excellent attention to detail. Must have the ability to work in a fast-paced environment, handle and prioritize multiple assignments and work well under pressure. Must also have the ability to work with local and remote teams. ESSENTIAL FUNCTIONS These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation. Update File Trail when actively working on a file. Check to see that all documents are scanned to DMS - signed documents folder (including non-superseded documents in vault folder). If superseded documents are in the signed documents folder mark these as superseded. Check signatures, seals and boxes. Update/Create document index. Update will vault database and create vault folders if necessary. Pull vault folders and check for superseded documents. Maintain Will vault indices. Conduct internet research regarding births and deaths. Maintain client communication logs in chronological order. Process and record deeds. Prepare form documents with required information for review by the attorney or paralegal. Process tax-exempt applications. Docket information to be docketed. Responsible for drafting wills, powers of attorneys, revocable trusts, and related funding documents, including the preparation of deeds. Assist with estate and trust administration, including drafting probate court documents such as wills, powers of attorneys, revocable trusts, etc. Assist with the preparation and filing of court documents and related probate documents. Assemble and process signed estate planning documents for conforming. Notarize and witness estate planning and probate documents. Complete all steps of the conforming process to ensure accurate documentation and recording keeping. Follow specific procedures for estate planning and probate mailings. Perform other duties, as assigned. Be present at work during regularly scheduled working hours and as needed in the position, consistent with the Firms attendance expectations. SPECIFIC SKILLS REQUIRED Specific skills and qualifications include the following: basic computer skills and knowledge of MS Office applications (Word, Excel, Outlook); familiarity with office equipment such as scanners and copiers; ability to work independently as well as to establish effective working relationships within a team environment; strong command of the English language, including excellent skills in spelling, grammar, punctuation, form and style, strong attention to detail, ability to express self effectively both orally and in writing; good organizational skills for prioritizing work; basic knowledge of library operations and records storage procedures for retrieving materials and files for case work; and basic knowledge of records management. SPECIFIC SKILLS PREFERRED Understanding of legal terminology and procedures pertinent to the area of assignment. EDUCATION AND EXPERIENCE High school diploma or equivalent. Previous experience as a Legal Practice Assistant with minimum of three years of experience or equivalent. Experience in estate planning and trust administration is preferred.
