Job Description: Fortunes Best Place to Work, Perkins Coie, has an immediate opening for a Facilities & Operations Coordinator to oversee facilities and operations functions for the Denver office. The ideal candidate will perform, assist, coordinate or plan a variety of tasks and projects utilizing internal staff and external vendors to ensure firm equipment, premises and facility-related programs remain at a sufficient level for excellent service to clients, staff and attorneys. Essential Functions: Acts as liaison with building management; works with building management regarding facilities, security, services, HVAC and office maintenance issues; assures compliance with office leases; Oversees and coordinates the work of contractors and vendors regarding the maintenance, repair and improvement of office space, equipment and furniture, (i.e., cable television, plant services, and equipment warranties; including AV repair and supplemental air conditioning maintenance for network room); Provides oversight to housekeeping and janitorial services; oversees the key inventory for offices and workstations; Meets with vendors and make recommendations to Office Business Director on their products and services; Provides support and information in the areas of computer peripheral supplies and equipment, recycling programs, furniture maintenance, plant maintenance, typewriters, and other office equipment as needed; Assist in the planning for office moves with external moving company and provide on- site direction in relocation of furniture; Assist in the issuance and auditing of facility access cards and garage validations; Maintains the office floor plans to include the firm's required quarterly update for space planning purposes; Performs back up housekeeping, production as needed; provides daily back up for reception and client service coordinator; acts as Facilities liaison to Marketing team as requested for event set ups; Assists in organization of local office security and safety procedures to establish and maintain a safe and healthful work environment (to include CPR/AED and First Aid training, Emergency Response Team training and emergency preparedness presentations, ergonomic assessment, recycling and shredding program); Assists in the administration of the local office Business Continuity Plan under the direction and guidance of the Office Business Director; Establishes and implements protocols for the arrival of visitors who require the use of a temporary office and support, as well as regular maintenance of visitor's offices, hoteling offices, conference rooms and team rooms; Reviews, codes and processes facility-related invoices and assists with the preparation of both operating and capital budgets related to facilities expenses; Liaison to Ricoh to ensure proper local office staffing and training needs; Responsible for assigning and tracking use of office space, including file space, work rooms, internal offices, hoteling offices and visitor offices; Assists with after-hours internal event coordination and set ups; Handles minor repairs, furniture moves, and art installation as requested; Manages depart and new hire facilities-related check list tasks and performs office tours and facilities department orientations for new attorneys and staff; Tracks inventory and re-ordering of new employee, marketing, and recruiting items and documents usage and coding according to firm processes and within an established budget; Perform other duties, as assigned. Required Skills: Demonstrated ability to express self effectively, both orally and in writing. Excellent customer service skills and competency in establishing and maintaining effective working relationships with internal stakeholders and external contacts. Ability to exercise discretion and independent judgment, able to shift priorities to meet customers demands. Skilled in negotiating with vendors to acquire cost effective materials and in meeting scheduled deadlines. Basic knowledge of MS Office applications. Command of basic hand tool use, general aptitude for spatial layouts as related to office moves, assessment of maintenance needs and implementation of facilities standards in a professional services environment. Ability to communicate effectively, both orally and in writing. Basic mechanical aptitude for equipment and furniture maintenance. Working knowledge of Excel and other common applications, such as Outlook, Word, Adobe, internet research, etc. Ability to establish effective working relationships throughout operational groups. Ability to prioritize work requests, work independently, and make effective decisions to resolve problems or complete tasks. Education & Experience: A minimum of five years of operations/facility-related experience in a professional services office environment. This position may be filled in Denver and in accordance with the Colorado Equal Pay Act, the compensation range in Denver for this position is $49,010 - $59,890, depending on qualifications and experience.
