GENERAL DESCRIPTION The Firm Management Project Administrator reports to the Director of Firm Administration. It is a multidisciplinary role that combines project and process management with document drafting and professional writing to support the firms Executive and Management Committees. This position will serve as a member of the Managing Partner Support Team and be responsible for driving efficiency by tracking and coordinating firm management and departmental workflow, including action items, deadlines, and deliverables. The Project Administrator will also work closely with the Director of Firm Administration to draft confidential governance documents, meeting materials, written communications, and presentations, such as Executive Committee minutes and resolutions, proposals, departmental communications, policy updates, PowerPoint presentations, and content for firmwide intranet sites. The Project Administrator will also assist with organization, planning, and content for firm management meetings and events and may provide support for discrete working groups, task forces, or strategic initiatives led by the Executive or Management Committees. This position will regularly interact with firm leaders, partners, and business professionals across the organization and requires a high degree of discretion and judgment. The ideal candidate is someone who thrives in a fast-paced, goal-focused environment and is comfortable prioritizing and managing complex and simultaneous tasks while maintaining grace, a sense of humor, and flexibility under pressure. ESSENTIAL FUNCTIONS These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation. Develop and maintain a consolidated tracking system for multiple intersecting processes and workstreams. Draft, edit, and finalize confidential documents, such as meeting minutes, resolutions, written consents, and internal communications. Manage the process for maintaining and updating firm policies in coordination with the Firm Administration and HR teams. Manage and organize content for several team collaboration and firmwide intranet sites. Develop and distribute firmwide surveys and distill survey data for management presentations and reports. Help organize and develop content for firm management meetings, events, and presentations. Provide backup support for the Director of Firm Administration at Executive and/or Management Committee meetings. Provide project or process support as needed for special firm management task forces or working groups. Manage department-specific projects as assigned. Be present at work during regularly scheduled working hours and additional hours as required for the position, consistent with the firms attendance expectations. SPECIFIC SKILLS REQUIRED Exceptional written communication skills. Strong organizational skills. Ability to distill substantial amounts of information into succinct written records and communications. Some experience with project or process management. Critical thinking and problem-solving skills. Keen attention to detail. Ability to prioritize multiple projects and tasks with minimal supervision or direction. Ability to maintain strict confidentiality with privileged or sensitive information. Strong proficiency with Microsoft Office Suite applications (Word, Excel, and PowerPoint). Working knowledge of Microsoft Teams, SharePoint, OneDrive, and Adobe Acrobat. SPECIFIC SKILLS PREFERRED Experience attending or supporting board of director or committee meetings Experience drafting governance documents, such as minutes, resolutions, and policies Familiarity with Smartsheet, MS Project, and Visio EDUCATION AND EXPERIENCE Bachelors degree required. A minimum of 3-5 years of experience in a legal or professional services environment, with an increasing level of responsibility. Paralegal certificate is a plus. This position may be filled in Denver and in accordance with the Colorado Equal Pay Act, the compensation range in Denver for this position is $74,720 to $112,550, depending on qualifications and experience.
