GENERAL PURPOSE Provide administrator assistance to the firms Investment Accounting and Tax teams of Perkins Coie Law Firm, by partnering with internal Finance team members and communicating with current and former attorneys. The Investment Accounting/Tax Administrator will provide internal project management for software implementations, project and process coordination, policy and procedure writing, contract and document execution and management, internal communications, general administrative support and data entry. ESSENTIAL FUNCTIONS These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation. The Investment Accounting/Tax Administrative Assistant reports to the Director of Tax Planning & Compliance for all aspects related to the firm including: Project Managing the implementation of Fund Accounting software, tax calendar software and any other project implementations with duties including, but not limited to interviewing stakeholders, developing a plan and timeline, setting deadlines, monitoring progress, solving real-time issues and evaluating project performance. Organizing and gathering data for team calendars, coordinating people-time for ad-hoc projects and making sure the firms needs are met through communication of important deadlines. Creating checklists for new investments to fall in line with team policies and procedures. Working with the Investment Accounting and Tax teams to develop and document policies and procedures for items including, but not limited to, investment rules and requirements, state tax filing thresholds and tax notice actions. Monitoring physical mailboxes as well as monitoring a shared e-mail account to scan, file, and send to the appropriate team member if action is needed. Organize and maintain the shared e-mail account for ease of searching and action items. Gathering signatures, either wet or through DocuSign, to execute legal documents or validate tax filings, organizing and filing all signed documents. Saving investment accounting and tax documents received through mail, portals, or e-mails to the appropriate file path. Keeping filed documents organized to find quickly. Accessing portals with banks, outside accounting firms, and investments to upload or download necessary documents needed for the Investment Accounting and Tax teams to perform their daily functions. Coding outside service provider billings, coding checks received, and drafting ACH or wire transfers to send for team member review. Assisting with preparing ACH and Wire payments meant for Investment Partners or funding external Investment purchases. Developing and maintaining a database of investment contacts. Reaching out to investment contacts to gather tax or financial information when necessary. Communicating necessary information to current and former attorneys via e-mail and online reporting hubs. Entering data from tax documents received into Excel. Perform other duties, as assigned. Be present at work during regularly scheduled working hours and as needed in the position, consistent with the firms attendance expectations. SPECIFIC SKILLS REQUIRED A demonstrated ability to maintain the highest level of confidentiality. Demonstrated proficiency with MS Office suite, especially with Excel, Word, and Outlook. Strong organizational skills, general technology skills, and the proven ability to learn new concepts and applications quickly. Proven ability to work well under pressure and meet tight deadlines. Ability to exercise judgment and work independently. Self-starter. Effective multitasking and prioritization skills. Detail-oriented while maintaining focus on the larger picture. Ability to express self effectively, both orally and in writing. Ability to establish effective working relationships throughout operational groups. Must be a team player and a heavy communicator. Must have a positive attitude, a strong work ethic and be highly organized. SPECIFIC SKILLS PREFERRED Functional knowledge of basic business structure and terminology is beneficial. EDUCATION AND EXPERIENCE Administrator support background with a minimum of 10 years of experience in an administrator or similar role. Requires a bachelors degree and 10 years of related experience, or equivalent. Investment Accounting or Tax department experience preferred.
