GENERAL PURPOSE The primary responsibility of the Legal Practice Assistant Trainee (Legal Secretary) is to provide routine administrative support, with immediate supervision, to designated attorneys, paralegals, other Legal Practice Assistants, and to Perkins Coie LLP, as a member of the professional support staff team or as a member of the Hub. In addition, as a member of the Team, this position is also responsible for promoting and maintaining the goodwill and reputation of the firm. In this capacity, the Legal Practice Assistant Trainee is expected to maintain the highest level of professional conduct and confidentiality. ESSENTIAL FUNCTIONS These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation. Gathering and organizing files and documents for coworkers use. Labeling and updating paper files to ensure the most accurate and up-to-date documentation Putting files, digital or paper, into their proper locations. Familiarity with saving client work product in a securely managed document management system. Scan and electronically file client documents and transfer files. Set up and maintain files and binders, type tabs and labels, prepare and maintain tables of contents and indices. Assist with time entry for timekeepers (entering, proofreading, spellchecking, and releasing), according to firm or department procedure. Organize file contents, two- or three-hole punch materials, photocopy, and compile as required by firm or department procedure. Process checks and reimbursement requests according to firm and department procedures. Prepare messenger slips and forward documents for internal and external dissemination. Proofread correspondence or other documents. Deliver interoffice documents on an urgent basis. Maintain department mailing lists. May maintain department calendar for distribution of weekly activities. Provide backup support to other Legal Practice Assistants. Prepare new client/matter reports and requests for outside information and follow up for receipt. File paper and electronic documents with appropriate courts and agencies and ensure proper procedures are followed and deadlines are met. Process saving of original Wills to bank vault. Conduct Internet research as directed by timekeepers. Be familiar with and adhere to all firm policies. Keep supervisor and team informed of activities and of any significant problems and/or all personal schedule changes; provide timely and accurate timecards regarding hours worked and days missed. Coordinate absences within work groups; proactively provide assistance to timekeepers in the absence of the regular Legal Practice Assistant, and, when time permits, to other Legal Practice Assistants. Adhere to the principles of client and firm confidentiality, as outlined in the confidentiality agreement signed at the time of hire. Maintain a clean and uncluttered work area, being sure that confidential materials and valuable items are secure. Perform other duties, as assigned. Be present at work during regularly scheduled working hours and as needed in the position, consistent with the firms attendance expectations. This position requires full-time in-office attendance. SPECIFIC SKILLS REQUIRED Basic computer skills and knowledge of MS Office applications (Word, Excel, Outlook, PowerPoint). Familiarity with office equipment such as scanners, copiers, etc. Must be able to work independently, as well as establish effective working relationships within a team environment. Must be a self-starter with strong attention to detail. Must have excellent grammar and proofreading skills. Ability to accurately type 60 wpm. Ability to express self effectively, both orally and in writing. Basic familiarity with standard law firm office procedures. EDUCATION AND EXPERIENCE Requires a high school diploma or equivalent. Minimum of one year of employment experience or equivalent preferred.
