GENERAL PURPOSE Function as a chief of staff for the client lead(s) of one or more of the firms largest and most complex clients, providing integrated management support across a broad spectrum of areas, both internally and client-facing. Collaborate with all administrative groups to leverage their respective areas of expertise to ensure seamless support. Absorb administrative tasks from the client lead where appropriate and exercise judgment where and when to act on their behalf to manage the client relationship. Proficiency in financial metrics, development of actionable reporting mechanisms, project management, and proactively identifying high-value initiatives and driving the internal teams responsible for their completion are required. Serve as the liaison with the clients legal operations department as directed by the client lead to strengthen and grow key client relationships. Maintain a deep understanding of the legal service industry, our clients businesses, and the firms strengths and resources. ESSENTIAL FUNCTIONS These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation. Financial Support In collaboration with the client leads, finance department, and pricing team, maximize the profitable revenue realized in the client relationship by supporting the following areas: Negotiating and analyzing rates. Monitoring portfolio and matter budgets. Maximizing billing realization by driving efficiency and troubleshooting. Analyzing profitability at the client and matter level. Managing special client billing personnel as needed. Ensuring compliance with Clients Outside Counsel Guidelines. Operational Support Provide operational support at every stage of the client journey to optimize the client experience. Support areas include: Helping identify, mentor, and promote the next generation of matter leads. Ensuring compliance with client diversity and inclusion requirements and programs. Developing key relationships with the clients legal operations team members. Developing content and attending quarterly business reviews or equivalent. Identifying opportunities to develop technology enhancements, both internally and client-facing. Identifying and responding to client secondment requests. Client Relationship Support Work with the client team to identify and manage client relationship building efforts including: Building a deep understanding of the clients business within the industry and its competitive environment, and providing relevant business intelligence and insight to the client team. Facilitating internal team meeting agendas and communications. Developing reports and presentations for firm leadership. Creating client primers for timekeepers that include information on the history of the relationship, service areas, in-house organizational charts, billing requirements, best practices, and more. Coordinating client feedback and working with client lead to address feedback received. Identifying and responding to client secondment requests. Supervision of people Managing and mentoring staff, as assigned, and overseeing personnel issues, workload, and professional development of staff. Serving as a role model, exhibiting the highest professional standards for internal and external client service. Collaborating across operational areas to ensure transparency, effective knowledge-sharing, increased team efficiencies, and to maximize the firms resources to the benefit of the client leads and the client. SPECIFIC SKILLS REQUIRED Must be skilled in Microsoft Office applications including Excel, PowerPoint, Outlook, and Word. Skill in Salesforce CRM will be a plus. Must be detail-oriented with excellent customer service skills and ability to prioritize. Must be able to work with all levels of personnel and firm management and diplomatically interact with senior executives internally and externally. Must be a self-starter, proactive, and a problem solver. Must have exceptional communication skills, both oral and written. Must be a successful team player. SPECIFIC SKILLS PREFERRED Deep understanding of the legal services industry is preferred over general understanding of professional B2B services (law, accounting, consulting, etc.). Deep understanding of the technology sector and customer service management required. EDUCATION AND EXPERIENCE Bachelors degree or equivalent is required; advanced degree (MS, MA, MBA, JD, or other relevant graduate degree) is highly desirable. A minimum of 15 years of experience in professional services, account management, and/or relevant business experience in the technology sector is required.
