GENERAL PURPOSE Serve as Trust Administrator for Perkins Coie Trust Company in all aspects of the administration of trusts, including life insurance trusts, estates, investment agencies, and custody accounts for the company. Provide trust administrative support to the Chief Trust Officer and the trust account administration team. This position requires in-office work three days per week. ESSENTIAL FUNCTIONS These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation. Support the administration team in handling the opening, settlement, and closing of estates and all aspects of the administration of trusts for the company, ensuring accuracy, timeliness, and adherence to appropriate regulations, including monitoring billing and collection of annual fees. Manage all aspects of irrevocable life insurance trusts, including: Contacting clients regarding gifts to trusts. Depositing funds into trust accounts. Issuing Crummey letters and obtaining signatures. Paying insurance premiums. Providing clients with insurance reports. Noting gift tax consequences. Coordinating with insurance agents regarding policy changes and questions. Facilitating the surrender of policies when required and coordinating the distribution of proceeds in accordance with the trust agreement. Monitoring billing and collection of annual fees. Assisting with periodic reviews of policy viability. Field client requests regarding cash receipts, fees, and statement questions. Support officers in problem resolution. Manage the cash needs for client accounts (including all PC Foundation activity). Assist in the collection of tax records as needed by the tax preparer. Provide clients or their accountants with tax ledgers and other pertinent tax information. Coordinate the review, signing, and timely filing of trust tax returns. Set up, track, and pay estimated tax payments. Coordinate and provide client information with third parties on a regular basis (i.e., trustees, attorneys, and CPAs). Assist in preparation for client meetings. Administer the setup, maintenance, and closing of client accounts on the trust accounting system. Prepare client correspondence and assist in mailing statements, checks, and other client documents on an as-needed basis. Organize electronic files and file folders for PCTC in the firms Document Management System (DMS), including official client records in keeping with the record retention policy as well as phone coverage. Provide special project support as required. Support financial planning functions. Compile marketing kits for prospect conversations. Provide backup support as needed. SPECIFIC SKILLS REQUIRED Excellent verbal and written communication skills. A proactive personality interested in growing professionally. Good organizational skills and high attention to detail. Working knowledge of Microsoft Office applications, including Outlook, Word, and Excel. Familiarity with general database concepts. Sufficient intellectual curiosity to provide motivation to learn new functions. SPECIFIC SKILLS PREFERRED Familiarity with trust or investment-related functions and systems. EDUCATION AND EXPERIENCE Bachelors degree or Associate Degree and a preferred minimum of three years of work experience. A general understanding of finance and tax is a plus.
