General Summary: Process files being transferred into and out of Knobbe Martens according to established procedures. Work cohesively with team members and attorneys to ensure efficient client service.
Responsibilities:
- Process files transferred to Knobbe Martens (Tran In).
- Obtain conflict subject matter and run conflict check.
- Review physical and/or electronic files to identify urgent matters, determine relationships, and assign matter codes.
- Perform docketing data entry and verify matter status.
- Manage spreadsheet containing data for import.
- Prepare and file documentation to finalize transfer before the USPTO.
- Manage docket relating to documentation necessary to complete transfer.
- Coordinate barcoding, scanning, and file history downloading.
- Coordinate transfer efforts with Trademark Paralegal for international trademark matters.
- Coordinate transfer efforts with Prosecution Team to confirm required documents are received.
- Process files transferred out from Knobbe Martens (Tran Out).
- Manage correspondence required for, received during, and received after transfer.
- Correspond and follow-up with client regarding documentation signature.
- Review files to ensure all designated files have been collected and to identify urgent matters requiring expedited processing.
- Perform data updates to docketing system and verify matter status.
- Prepare physical files and package for transfer according to retention policy.
- Coordinate the creation of a CD or file sharing site containing electronic files for transfer.
- Coordinate completion of transfer with new counsel.
- Manage docket and necessary follow-ups until transfer is complete.
- Conduct and participate in training as necessary.
- Complete other duties as assigned by Supervisor(s).
Requirements
- Knowledge of patent, trademark and copyright prosecution and previous experience as a Docketing Agent preferred.
- Effective writing skills; excellent proofreading, spelling, grammar, and punctuation.
- Previous clerical and data entry experience demanding a high attention to detail.
- Excellent computer skills; proficient in Microsoft Office Suite.
- Effective verbal communication skills.
- Must be efficient, accurate, timely, flexible and have excellent attention to detail.
- Able to thrive in a fast-paced, dynamic environment.
- Team player and a positive attitude is a must.
- Must meet minimum testing requirements.
- Able to lift and carry up to 15 pounds.
